ClassLink Event Terms & Conditions

Carefully read the terms and conditions for ClassLink events. By registering for, sponsoring, and/or participating in a ClassLink event, you agree to be bound by these terms and conditions.

1. General Terms and Conditions

1.1 Registration and Attendance

Registration for the event is mandatory for all attendees. Attendees must provide accurate and up-to-date information during the registration process. Registrations are non-transferable without prior approval from ClassLink. ClassLink reserves the right to refuse or cancel registrations at its discretion.

Termination

By registering with ClassLink, you acknowledge that ClassLink reserves the right to terminate registrations at its discretion without prior notice if conduct violates terms, infringes on rights, or harms ClassLink's interests. Termination may result from non-compliance with laws. ClassLink shall not be liable for damages or losses. Termination may be immediate, and legal action may be taken against violators.

SMS

By registering and providing your mobile number, you consent to receive event-related SMS updates. Standard rates may apply. Reply "STOP" to opt out.

Access Policy 

Access to CLON and services is contingent upon receipt of payment for event registration or requested services. Attendees and participants will only gain entry once CLON has received payment. Please refer to the "Accepted Forms of Payment" section for valid payment methods.

1.2 Conduct

Attendees are expected to conduct themselves professionally and respectfully throughout the event. Harassment, discrimination, or inappropriate behavior towards other attendees, speakers, or staff will not be tolerated and may result in immediate expulsion from the event and/or future events. Attendees must adhere to the rules and regulations of the event venue at all times.

If you are being harassed, notice that someone else is being harassed, or have any other concerns, please immediately contact a ClassLink board or staff member. Anyone experiencing or witnessing behavior that constitutes an immediate or serious threat to public safety is advised to contact 911.

1.3 Liability

ClassLink shall not be held liable for any loss, injury, damage, or inconvenience sustained by attendees during the event, regardless of the cause. Attendees participate in ClassLink events at their own risk and are responsible for their own safety and belongings.

1.4 Health and Safety

ClassLink is committed to ensuring the health and safety of all event attendees. Attendees are required to comply with all health and safety protocols implemented by ClassLink and the event venue. This may include but is not limited to practicing social distancing and adhering to hygiene guidelines. Attendees must not attend the event if they are experiencing any symptoms of illness or have been in close contact with someone who has tested positive for a contagious disease within the specified timeframe. 

ClassLink reserves the right to refuse entry to any attendee who fails to comply with health and safety protocols or poses a risk to the health and safety of others. Attendees acknowledge and accept the inherent risks associated with attending a large event and agree to take personal responsibility for their own health and safety during an event.

Dietary or Mobility Accommodations

If you have dietary or mobility restrictions, please communicate restrictions in a timely manner via CLON@classlink.com. Every effort will be made to accommodate these requests within reason, but organizers cannot guarantee the availability of all options. While ClassLink will take reasonable measures to accommodate dietary requirements and disability accommodations, they cannot be held liable for circumstances beyond their control that may impact the provision of these services. 

ClassLink does not manage hotel room bookings. For assistance with room accommodations, please contact Hyatt Regency Jersey City directly. 

1.5 Privacy

ClassLink respects the privacy of attendees and will handle personal information in accordance with our Privacy Policy. By registering for a ClassLink event, attendees consent to the collection, use, and disclosure of their personal information by ClassLink to organize and administer the event, including but not limited to updates, announcements, and post-event surveys. By providing your contact information during registration, you consent to ClassLink contacting you via email, phone, or other means for event-related communications. 

By registering for the event, ClassLink respects your privacy and will not sell or share your contact information with third parties for marketing purposes without your explicit consent. You may opt out of receiving non-essential communications from ClassLink at any time by following the unsubscribe instructions provided in the communication or by contacting ClassLink directly. Please note that opting out of certain communications may affect your ability to receive important updates or information about the event.

1.6 Photography and Filming

During your attendance, photographs and videos may be taken of you by ClassLink or others on behalf of ClassLink to capture activities. ClassLink may use photographs or film for promotional and archival purposes without compensation to participants. Attending a ClassLink event grants ClassLink the right to use their likeness, voice, and/or image in any photographs, videos, or other promotional materials. If, for any reason, you must be excluded from photographs or filming, a formal request including your name, school, and a headshot for reference must be sent to CLON@classlink.com.

1.7 Event Content

The content presented at a ClassLink event is the intellectual property of ClassLink and/or its partners/speakers. Unauthorized recording, reproduction, or distribution of event materials is strictly prohibited. ClassLink reserves the right to modify the event schedule, content, speakers, and venue without prior notice.

1.8 Intellectual Property

All intellectual property rights associated with a ClassLink event, including but not limited to trademarks, logos, and content, are owned by ClassLink. Unauthorized use of ClassLink's intellectual property is strictly prohibited.

1.9 Hotel Room Block

ClassLink has arranged discounted room block rates for CLON attendees. You can benefit from these exclusive prices; however, please note that the availability is limited. ClassLink cannot guarantee discounts beyond the allocated room block.

Hyatt Regency Jersey City CLON Pricing: $239.00/night plus taxes and fees.

Please note that while ticket cost includes access to our exclusive room block discounts, registration does not include sleeping room nights booked by the end user directly with the Hyatt Regency Jersey City (leveraging our room block discount). 

2. Payments and Deadlines

2.1 General

Registration payment must be made in full before the event. All fees are non-refundable unless otherwise stated by ClassLink.

Accepted Forms of Payment

Payments are processed through the event portal. There are two types of payment options:

  • Online via credit card (Visa & Mastercard are accepted)
  • Offline via Check, ACH, and/or Purchase Order

How do I include ticket costs in my annual ClassLink renewal?

  1. Confirm with your supervisor that CLON tickets can be paid for in the next renewal quote for your ClassLink subscription.
  2. Select “Include ticket costs in my annual ClassLink renewal” during registration.
  3. When your current ClassLink subscription is up for renewal, your CLON ticket costs will be added to your renewal quote.
  4. Follow the existing procedure for renewing your ClassLink subscription.

How do I pay by Check/ACH?

  1. Select “Check/ACH” during registration.
  2. You will receive a link to download your quote in the confirmation email.
  3. Send the quote to your accounting team to generate a Purchase Order (PO).
  4. Email the PO to billing@classlink.com to receive an invoice.
  5. Pay your invoice using a check or ACH transfer and include the first and last names for all tickets sold. Please write your school district/system on the check.

2.2 Attendee Payments & Deadlines

Cancellation Policy

To cancel your registration, you must complete the cancellation form by visiting the registration home page. 

  • 3+ months before the event: 100% refund
  • 2–3 months before the event: 50% refund
  • Less than 1 month before the event: No refund (ticket transfers allowed)

Cancellation fees

  • Check/Purchase Order: $25 cancellation fee
  • Credit Card: 3% credit card processing fees will not be refunded.

Ticket Transfer Policy 

Ticket transfers are allowed up to two weeks before the event and exclusively to individuals with an institution email address. Once transferred, the original holder relinquishes all rights to the ticket. Violations may result in denial or revocation of the transfer. The event organizers reserve the right to modify this policy as needed.

Deadline for Payments

  • Registration closes 30 days before the event. 
  • All payments must be received within 30 days before the event.

Refund Policy

In the event that a refund needs to be awarded, the refunds are specific to the modality of the original payment.

Credit Card

  • Refunds for payments completed through credit cards will be processed through the registration platform. Credit card processing fees will not be refunded. 

Check or Purchase Order

  • Refunds will be issued within 30 days following the event's conclusion if registration was made using a check or Purchase Order. A $25 cancellation fee will be applied to a purchase order refund.

2.3 Sponsor Payments & Deadlines

Payment

  • An invoice is issued after sponsor selection is finalized.
  • Payment is due 90 days prior to the event or immediately if sponsor registration is within 90 days of the event.
  • No refunds or credits will be issued for cancellations.

3. Presenter Terms and Conditions

By submitting a presentation proposal and/or participating as a presenter at the CLON, you agree to these Presenter Terms and Conditions. CLON organizers are not responsible for any damages or losses incurred by you in connection with your participation as a presenter. You agree to indemnify and hold harmless CLON organizers and its affiliates from any claims, liabilities, or expenses arising from your presentation or participation in the event.

3.1 General

Presentation Content

  • You are solely responsible for the content of your presentation, including any materials you distribute or display.
  • Your presentation must be original and not infringe on the intellectual property rights of any third party.
  • You agree to present on the topic approved by the CLON organizing committee.
  • The CLON organizers reserve the right to request modifications to your presentation content to ensure it aligns with the event theme and audience.

Grant of Rights

  • You grant CLON organizers a non-exclusive, royalty-free right to record, reproduce, distribute, and exhibit your presentation and related materials for promotional purposes of the event. This may include posting recordings of your presentation on the CLON website or ClassLink social media channels.
  • You retain all ownership rights to your presentation content.

Presentation Content

By accepting these Presenter Terms and Conditions, you understand that CLON organizers may need to make schedule changes due to unforeseen circumstances. We reserve the right to modify or cancel your presentation. 

You also agree to attend CLON and present on schedule upon accepting these terms and conditions. If you must cancel, notify CLON@classlink.com ASAP.

 3.2 Attendee Presentations

As a presenter, you are responsible for all travel and accommodation expenses associated with your participation in CLON. Event registration is waived for presenters, and CLON organizers may offer further honorariums or speaker fees at their discretion. Details regarding compensation will be communicated at the time of proposal acceptance. 

3.3 Sponsor Presentations 

As a presenter, you are responsible for all travel, accommodation, sponsorship, and registration expenses associated with your participation in CLON.

4. Sponsors

Sponsorship packages and additional opportunities are allocated on a first-come, first-served basis. Detailed information about each sponsorship level and its associated benefits is available in the sponsorship package provided to you. For further details, please refer to "2. Payments and Deadlines."

4.1 Sponsor Benefits

Sponsor benefits will vary depending on the selected sponsorship level and as outlined in the sponsorship package. These benefits may include:

  • Logo placement on marketing materials (e.g., website, event signage)
  • Speaking opportunities at the conference
  • Booth space
  • Brand recognition and promotional opportunities

4.2 Sponsor Responsibilities

All sponsors, regardless of sponsorship level, are responsible for the following:

  • Providing ClassLink with all logos, artwork, and marketing materials in accordance with the sponsorship package guidelines.
  • Staffing the sponsor booth during the event.
  • Ensuring all sponsor staff are in compliance with venue rules and regulations.
  • Conducting all sponsor marketing and promotional activities at the event being in a professional and ethical manner.

Exhibit

  • ClassLink reserves the right to assign booth locations. Attempts will be made to accommodate requests but do not guarantee availability or fulfillment of specific location preferences.
  • Exhibit items cannot be dismantled or removed until the event ends unless otherwise approved by ClassLink. Spaces must be cleared by the designated time, or ClassLink may remove items at the exhibitor's expense. ClassLink is not responsible for any resulting damage or loss.
  • Sponsors must pay all fees as invoiced. If legal action is needed for unpaid fees, sponsors are responsible for covering related charges. Failure to pay may lead to space cancellation without a refund. 
  • Sponsors cannot sublet space or share booths unless there is a legal subsidiary standing. Unauthorized goods are prohibited. Unoccupied spaces may be cleared or set up by ClassLink, with exhibitors liable for costs. If delays are caused by decorators, sponsors are not held responsible.

4.3 Indemnification

Sponsor agrees to indemnify and hold harmless ClassLink, its officers, directors, employees, agents, and affiliates from and against any and all claims, losses, damages, liabilities, costs, and expenses (including reasonable attorney fees) arising out of or related to Sponsor's participation in a ClassLink event, including but not limited to:

  • Any act or omission of Sponsor, its employees, or agents.
  • Any breach of these Terms by Sponsor.
  • Any claims of infringement of intellectual property rights.

4.4 Limitation of Liability

ClassLink shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to these Terms or Sponsor's participation in a ClassLink event.

 4.5 Force Majeure

ClassLink shall not be liable for any delay or failure to perform its obligations under these terms due to causes beyond its reasonable control, including but not limited to acts of God, natural disasters, terrorism, strikes, or governmental actions.

5. Changes to Terms & Conditions

ClassLink reserves the right to update or modify these terms and conditions at any time without prior notice. Updated terms and conditions are effective immediately upon release.

By registering for and attending a ClassLink event, you acknowledge that you have read, understood, and agreed to abide by these terms and conditions.
